Weekly sessions

Weekly sessions let you define your club's regular playing schedule. Once set up, you can quickly create sessions from your recurring schedule, and the system will automatically apply the correct settings when you create a session on the same day.

What are weekly sessions?

Weekly sessions define when your club plays on a regular basis. For example, if your club plays every Wednesday from 7:00 PM to 8:30 PM, you can create a weekly session for Wednesdays with those times. This makes it easy to create sessions for your regular playing times without having to configure the same settings each week.

Weekly sessions are displayed in the "When we play" section on your club page. Each weekly session shows:

  • The day of the week and time (e.g., "WEDNESDAYS AT 19:00 - 20:30")
  • Upcoming sessions created from that weekly session
  • Past sessions for reference

Creating a weekly session

To create a weekly session:

  1. Go to your club page

  2. In the "When we play" section, click "New time"

  3. Configure the session:

    • Weekday: Select the day of the week
    • Start time: When the session begins
    • End time: When the session ends
    • Courts: Number of courts available
    • Player fee: Optional fee for players (leave blank for free sessions)
    • Description: Optional description that will be shown in the public directory if your club is listed
    • List in public directory: Check this to show this session in the public directory (requires your club to be listed in the directory)
  4. Click Save

Once created, your weekly session will appear in the "When we play" section.

Editing a weekly session

To edit a weekly session:

  1. Go to your club page
  2. In the "When we play" section, click on the weekly session you want to edit
  3. Make your changes
  4. Click Save

Changes to a weekly session will apply to future sessions created from it, but won't affect sessions that have already been created.

Creating sessions from weekly sessions

When you create a new session, the system automatically detects if there's a weekly session for that day and applies its settings. You don't need to explicitly create the session "from" the weekly session—just create a session normally, and if it matches a weekly session's day, those settings will be pre-filled automatically.

To create a session:

  1. Go to your club page
  2. Click "Start session" in the Sessions panel
  3. The session form will automatically use settings from any weekly session that matches today's day of the week
  4. Review and adjust settings if needed
  5. Click "Start session" to begin

For example, if you have a weekly session for Wednesdays at 7:00 PM and you create a new session on a Wednesday, the system will automatically apply the Wednesday weekly session's settings (courts, player fee, warm-up time, etc.). You can still modify these settings when creating the session if needed.

The session will be linked to the weekly session, making it easy to track which sessions came from which weekly schedule. This automatic pickup only happens when creating a new session—it won't affect existing sessions.

Public directory listing

If your club is listed in the public directory, you can choose to list individual weekly sessions in the directory. This helps players discover when your club plays and find sessions that match their schedule.

To list a weekly session in the directory:

  1. Edit the weekly session
  2. Check "List in public directory"
  3. Optionally add a Description that will be shown in the directory
  4. Save the session

The weekly session will then appear in the public directory with your club's listing, showing the day, time, and description.

Once you've created sessions from your weekly sessions, you can manage them just like any other session. See Running a session for information on managing players, games, and session settings.

Weekly sessions help you maintain consistency across your regular playing times while still giving you flexibility to adjust individual sessions as needed.
